 File Number

The File Number field will accept a City Clerk File Number. The File Number must be entered in the correct format, consisting of a three-letter prefix, space, four-digit year, dash, and four-digit file number, with the exception for Ordinances.

Wildcard:  The File Number field will accept a wildcard search using an asterisk (*) as the wildcard character. For example, to locate all 2019 CPR files, enter in the File Number field:  CPR 2019-*.

Document Type

Document Types are the categories of City Clerk files. Below is a brief explanation of Document Types:

 

CPR:

Agendas/Packets:

City Council meeting Agendas/Packets.

City Council Minutes:

Meeting minutes for City Council

Correspondence:

General correspondence that does not fit within one of the other categories within this listing.

Docs Submitted to Council:

Documents submitted to City Council that do not fit within one of the other categories within this listing.

Gazette:

The City of Spokane official newspaper for the publication of City-related business. The Official Gazette  is published every Wednesday.

Minutes:

Meeting minutes for City Council and standing committees: Sustainable Resources (formerly Finance & Administration); Public Infrastructure, Environment & Sustainability; Public Safety & Community Health; and Urban Development.

Reports:

Regular reports of pending claims and payments; pending payroll and payment; and miscellaneous reports placed on file.

Special Meeting Notices:

Notices issued to notify the media and public of meetings held outside the regularly scheduled meeting time.

   

FIN:

City Budget:

Adopted City Budgets.

   

LGL:

Appeals:

All appeals on file. Generally, an appeal to City Council of a Hearing Examiner decision.

Elections:

Information regarding municipal elections.

Initiative Petitions/Referendums:

Initiative Petitions/Referendums filed and subsequent City Council action.

Mayor/Council Files:

Information gathered regarding each Mayoral and City Council position. Contains oath of office.

Policy & Procedure:

City policies and procedures and Mayoral executive orders.

SERS Election:

Annual Spokane Employees' Retirement System election of a member to the Board of Administration.

   

OPR:

Agenda Contracts:

Contracts requiring City Council action.

Allocation Contracts:

Contracts generated by a prior City Council action approving funding to be disbursed among several organizations.

Interlocal - Agenda:

Contracts with other governmental entities requiring City Council action.

Interlocal - Minor:

Contracts with other governmental entities in which the net expense/revenue falls under a legally-mandated amount not requiring City Council action.

Lease - Agenda:

Property leases requiring City Council action.

Lease - Minor:

Property leases in which the net expense/revenue falls under a legally-mandated amount not requiring City Council action.

Minor Contracts:

Contracts in which the net expense/revenue falls under a legally-mandated amount not requiring City Council action.

Parks Board Actions:

Contracts requiring Park Board action.

Real Estate:

Date Range

May enter a date range or a single date in the following format:  mm/dd/yyyy. The calendars may also be used to populate the date range fields. Dates are based on date initially filed with City Clerk's Office.

Sub Type

Sub Types further categorize the Document Types. For example, a file with a Document Type of "Ordinance" and Sub Type of "SMC" would be a Spokane Municipal Code Ordinance.

Sorting Your Results

Query results can be sorted by File Number, Date Stamp, Document Type, Sub Type, Dept, Keywords, or Council Meeting. Clicking on the header of a column will sort the query results in ascending order by that column. A second click will sort the query results in descending order.

Viewing Your Results

Individual files within the query results can be viewed by clicking the "View" button. This will open the document as a PDF in Adobe Reader and will provide the ability to print, save, copy or email the document. Adobe Reader must be installed on your computer and can be downloaded for free here.
